Migration
We move the club across. That part is free.
Clubs stay on software they have outgrown because re-entering years of aircraft and flight records is nobody’s idea of a weekend. So that part is our job, not yours.
What comes across, free
How the two weeks actually run
| Stage | Who does it | What happens |
|---|---|---|
| Access | You, once | A read-only login on your current system, or an export. Whichever is easier. |
| Load | Us | Roster, aircraft, rates, meters, hours, squawks and intervals go in. You check them against what you expect to see. |
| Sync | Us | Your old scheduler stays live and the forward bookings are kept in step, so nothing made mid-move is lost. |
| Cut-over | You pick the date | Members sign in with a passkey or an emailed link. There are no passwords to hand out. |
| First close | You, with us on hand | The first billing run is drafted for you to read line by line before anything is sent. |
Days, not months. The long pole is almost always the club deciding on its rates and member classes, not the data.
The accounting question, honestly
Bringing the books across is a separate job and we quote it, because it means rebuilding your history as real journal entries and reconciling every member balance against your existing A/R aging. It is careful work and pretending otherwise would be dishonest.
We have done it: a full year of QuickBooks history, rebuilt as entries and matched to the penny before anyone saw a statement. If your club wants that, ask and we will scope it.
Most clubs do not. They start clean in FlightWay and settle old balances where they already are, with each member carrying a previous balance line until it clears. That path costs nothing and takes an afternoon.
What we ask of the club
- One person who can answer questions about how the club actually bills, because the documented rules and the practice are rarely identical.
- A decision on member classes and dues before the first run.
- A decision on rates and on whether each aircraft bills on hobbs or tach. Our guide to the two exists for exactly this conversation.
- A date. Clubs that do not pick one run two systems for months.
Leaving is part of this too
A migration promise means little from a vendor you cannot leave. Export the full journal, every entry and every line, plus flights and roster, from inside the app at any time. If a club decides FlightWay is not for them, we help them land somewhere else rather than making the exit the reason they stay.
Tell us what you are on now
Name the system, the fleet and roughly how many members, and you will get back a plan, a date range and a price. No call required.
